Cancellation Policy

Cancellation Policy

 We value your time, our time & the services we provide. When you make an appointment at Occupational Therapy Services Group, that time is reserved exclusively for you. We schedule our resources, staff and contractors time to that appointment, and whilst we understand that there are times when you must miss an appointment due to emergencies or obligations for family or work; Cancellations without notice cost our service financially and often prevent other service users from being seen. That is why any cancellation of appointments requires notice by either party. You can cancel or change your appointment without incurring any fees, as long as you give us at least two working days notice.

A short-notice cancellation or failure to attend or be present for an appointment that is less than 2 clear working days' notice, will attract a cancellation fee in line with our cancellation policy for that service. This cancellation fee may be waived at the discretion of Occupational Therapy Services Group management, please let us know if you think your circumstances require special consideration.

Obligations and cancellation fees will be specifically outlined in your Service Agreement & a copy of this agreement can be provided on request.

However, generally speaking:
  • In accordance with the NDIS Price Guide, a fee of up to 90% of the agreed service fee will be charged for a short-notice cancellation;
  • A  fee of the entire agreed service fee will be charged for a short-notice cancellation up to a maximum charge of 2 hours, for insurance providers or trustees (at the WA WorkCover rate);
  • In accordance with DVA Guidelines, a short-notice cancellation will not be charged when a service has not been provided;
  • For all other fee-for-services, a total fee of the entire agreed service fee will be charged for a short-notice cancellation up to a maximum charge of $100;
  • An additional fee for travel expenses may be charged for appointments scheduled outside of Occupational Therapy Services Group's offices;
  • Occupational Therapy Services Group reserves the right to cancel a scheduled appointment if we are unable to confirm your appointment within 5 clear working days from the date of the scheduled appointment.
All fees charged for a cancellation are not eligible to be claimed with a Private Health provider.
